Changes to the Conduct of Public Meetings During the COVID-19 Emergency 3/24/2020

In order to maintain the health and safety of Town employees and residents during the COVID-19 emergency, and pursuant to the Governor’s Emergency Orders #2 and #12, the Board of Selectmen have implemented the following changes to the conduct of public meetings and hearings:

 

  • The holding of meetings will be at the discretion of the Chair of the Board, Committee, or Commission. Meetings that can be delayed should be pushed off until the current state of emergency is over.
  • All scheduled meetings will still be publicly noticed with the remote access information that is open to the public.
  • There requirement for a quorum of members of Board/Committee/Commission participation at a noticed meeting location is waived per Emergency Order #12. All members should participate by phone using the following teleconferencing line:
    • Dial-In Number: 425-436-6394
    • Access Code: 554608#
    • Leader PIN: 3811# (only for the person hosting the meeting)
  • There will be no physical location for the meeting -- the public may attend using the dial-in information provided.
  • The Chair of the body will establish which voting members are on the phone. All votes will be a roll call vote so that individual responses can be recorded for the record. The rest of the meeting will be conducted following the normal rules for an in-person meeting.
  • If for some reason the remote access is not available to the public, the Chair should adjourn the meeting and no further business should be conducted. This applies to the general availability of the remote system, not the ability of just a particular member of the public to access the system.
